As the creative director of your wedding, Julian Leaver Events will:

  • Facilitate a vision-driven approach and establish high-end details within floral, rentals, entertainment, paper, and overall ambiance
  • Produce a personalized luxury experience tailored to your aesthetic
  • Curate a cohesive color palette, weaving in texture and other sensory elements for a refined guest experience
  • Consider the overall atmospheric experience in all key vendor and design decisions
  • Provide unique and immersive design recommendations
  • Remain available for ancillary styling needs (such as atelier appointments, attire recommendations, and finishing accessories)
  • Manage and coordinate the design of stationery and branding items (such as welcome bags, signage, custom linens, dance floor props, and beyond)
  • Create and implement a Pinterest strategy to assist with communicating your desired vision to all creative partners

BUDGETING

Planning & Coordination

  • Create and manage the allocation of a detailed wedding budget
  • Review and thoughtfully assess vendor contracts to ensure all creative partners are maximizing your event’s financial guidelines and meeting each stakeholder’s expectations
  • Source and recommend creative partners from our rolodex of cultivated relationships who share our commitment to excellence and align with your personality, preferences, and budgetary considerations (please note that we anticipate our clients will give us the autonomy to curate the recommendations best suited to their vision)
  • Assist in obtaining wedding insurance
  • Coordinate payment of partner balances and distribute tips as requested
As your executive planning partner, Julian Leaver Events will:

SCHEDULING

  • Remain available for pre-determined monthly wedding meetings, weekly phone calls, and daily emails as necessary to plan and finalize wedding details
  • Schedule and attend vendor selection and planning appointments (this list may include: venue, florist, photographer, filmmaker, entertainment, cakes, linens, transportation, stationery, catering, lighting, wedding atelier, menswear, hair and makeup, décor, security, valet, and other specialty vendors)
  • Schedule all portraits, attend portrait shoot, and assist with delivery of wedding attire and floral
  • Plan ceremony and discuss family information, pew seating, processional, and recessional
  • Produce itinerary documents for the wedding party and all vendors with minute-by-minute wedding details
  • Provide vendor walk-through at reception venue one (1) week prior to the wedding
  • Coordinate transportation for out-of-town guests and wedding party
  • Work with all stakeholders—including the couple, families, wedding party, venue, and vendors—to maintain the timeline, troubleshooting anything that might arise and adjusting the schedule as needed

CONSULTING

  • Offer helpful task organization tips and templates throughout the process (including a master checklist, wedding guest lists, monthly tasks, reminders, and more)
  • Provide cultural advisory and guidance for all traditions you wish to incorporate
  • Recommend dance lessons if desired
  • Manage family dynamics in conjunction with all stakeholders to ensure a thoughtful celebration
  • Act as an ever-ready sounding board for concerns, worries, and excitement for the day

PREPARATION

  • Manage wedding apparel (this could include wedding gown pick-up and one (1) bustle appointment and/or tuxedo or suit fitting)
  • Deliver wedding attire, as well as assist couple and wedding party in dressing rooms prior to the ceremony—we stand ready to assist with your bow ties
  • Meet with couple and family one (1) week prior to the wedding to pick up all personal items (including guest book, pen, portrait, toasting glasses, sign-in book, cake knife, favors, programs, etc) and transport to venue
  • Gather and deliver amenity bags for out-of-town guests
  • Manage all documents, layouts, itineraries, etc
  • Provide a fully stocked emergency kit with everything from safety pins to white chalk, a spare bow tie, and more—honed from hundreds of mini “emergencies”

EXECUTION

  • Attend rehearsal ceremony, coordinate ceremony (in the absence or in concurrence with on-site church coordinator), handle marriage license, and church fee if applicable
  • Comprehensive coordination of wedding ceremony and wedding reception (this includes pre-ceremony and post-ceremony pictures as well as day-of activities)
  • Manage all vendor set-up on the day of your event and on-site coordination of partners throughout the event
  • Manage important event day details (including alphabetizing escort cards and place cards, gifts between the bride and groom, signing of the marriage license, special first looks between the bride and her parents, etc)
  • Manage all details relating to the overall guest experience, including childcare, important gifts, transport, etc
  • Manage our professional coordination team and assign members to specific event components (assistants will be billed at $40/hour)
  • Maintain and execute inclement weather plans as needed for events with outdoor components
  • Return all personal items and gifts to the couple following the honeymoon

Event Production

As your production lead, Julian Leaver Events will:

  • Conceptualize floor plans in conjunction with design partners to ensure feasibility
  • Procure and manage additional production partners (to include, tenting, fabrication, power, HVAC, water, lighting, A/V, kitchen buildout, waste removal, valet, security, etc)
  • Facilitate and attend additional site visits and management meetings related to production
  • Coordinate production throughout the installation and build process (including overseeing tent progress and finish out, managing custom builds, and ensuring power/water/HVAC is tested and in working order)
  • Ensure appropriate event permits and security needs are in place for a safe event
  • Implement appropriate contingency plans in case of inclement weather
  • Provide post-event coordination of event strike (including final walkthrough of site after strike is complete, accompanied by all vendor partner leads to ensure venue compliance and avoidance of unnecessary fees)

Weekend Event Details

At your Welcome Party, Rehearsal Dinner, and/or Post-Wedding Brunch, Julian Leaver Events will:

  • Assist with venue and vendor selection
  • Establish event design (including overall concept, color story, and floor plan)
  • Develop event itinerary and coordinate with appropriate vendors
  • Consult with stakeholders on important toasts and/or traditions
  • Assist in invitation and day-of paper good design and creation
  • Coordinate any repurposed pieces from the weekend’s events as needed
  • Confirm final vendor payments as needed and handle delivery of final checks as applicable
  • Provide day-of event coordination
